The type of personal information we collect

We currently collect and process the following information:

  • Name, phone number, email address, and registered office address.

  • Social media business account addresses.

  • Website user statistics.

  • Company number.

  • VAT number.

 

 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To include on our clients’ websites and other marketing material that we create for them.

  • To monitor the effectiveness of our marketing campaigns, and those of our clients.

  • To create and process invoices.

  • To market to businesses who are not our clients, but who have shown an interest in our products and services, or those of our clients.)

  • To market our products and services to existing customers.

  • To market products and services to customers of our clients.

 

We also receive personal information indirectly, from the following sources in the following scenarios:

  • From our clients, for us to market to their customers and to businesses that have shown an interest in their products.

  • If we need additional information about a client, in order to fulfil their order requirements, we may get that information from the company’s website, or from other reputable online sources. Examples would be their VAT number, registered office address, or VAT number.

  • If we need additional information in order to contact a customer of one of our clients or a business that has shown an interest in the products and services of one of our clients we may get that information from the company’s website, or from other reputable online sources. Examples would be their business address(es), contact name(s) and business email address(es).

  • If we need additional information to contact a business that has shown an interest in our products and services, we may get that information from the company’s website, or from other reputable online sources. Examples would be their business address(es), contact name(s) and business email address(es).

 

 

We may share this information with our clients under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

 

  1.  Your consent.

You have told us you would like to receive information about the products and services we, or one of our clients, offer. You can remove your consent at any time. You can do this by contacting hello@rbcmarketing.co.uk.

  2.  We have a contractual obligation.

We are processing the data so that we can fulfil our contract with you or carry out a pre-contractual request from you.

 

  3.  We have a legitimate interest.

We will collect and retain only information that allows us to contact you with information that is relevant to your business. You can remove your consent at any time. You can do this by contacting hello@rbcmarketing.co.uk.

 

How we store your personal information

Your information is stored online in Microsoft One Drive folders, which are protected by Two-Factor Authentication. OneDrive uses 256-bit AES encryption to protect your data in transit and at rest.

 

We send email marketing campaigns via Campaign Monitor, a third-party email marketing tool, and store names and business email addresses on their cloud based platform. Our account is protected by a thirty characters long password which we change every six months.

 

All passwords are known only to employees of RBC Marketing Limited. In the event of an employee leaving RBC Marketing Limited, passwords are changed with immediate effect.

 

We store your data for no longer than is necessary for the purpose(s) for which it was collected and processed. We determine the appropriate retention period based on the specific purpose of keeping your data.

 

For marketing purposes, where we rely on legitimate interest, we will process your data until you request us to remove it, or it becomes clear you are no longer interested (e.g., by not opening emails for a six-month period.)

 

We retain the information of ex-customers for three years, after which their information is permanently deleted.

 

Regardless of our retention periods, you have the right to request deletion of your personal data at any time.

 

Your data protection rights

Under data protection law, you have rights including:

 

Your right of access - You have the right to ask us for copies of your personal information.

 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
